The invisible work is what separates a specialist travel advisor from a booking platform. Here's what actually happens between the moment you say "let's plan a trip" and the moment you step aboard.
The Discovery Conversation
Every engagement begins with a conversation that goes well beyond "where do you want to go?" We're trying to understand:
- How you actually travel. Do you want to be busy or do you want to rest? Do you eat adventurously or do you have preferences we should know about? Do you like meeting other guests or do you prefer privacy?
- What's gone wrong before. The most useful information is often the trip that didn't work — the resort that was too loud, the cruise that felt too formal, the hotel room that faced the wrong direction.
- What success looks like. Not just the destination, but the feeling. "I want to come home feeling like I actually rested" is a different brief than "I want to see as much as possible."
This conversation shapes every decision that follows.
The Research and Recommendation Phase
Once we understand what you're looking for, we do the work that would take you 20–40 hours to do yourself:
Supplier Consultation
We contact our preferred partner representatives at the cruise lines and resorts directly — not through a booking portal, but through the relationships we've built over years of business. We ask:
- What's the current inventory situation? Are there upgrades available?
- Are there any issues with the property or ship we should know about? (Renovations, staffing changes, a new restaurant that's exceptional)

For a cruise, we review every port, every shore excursion option, and every specialty restaurant. We identify:
- Which excursions to book immediately (they sell out)
- Which ports are best explored independently
- Which specialty restaurants to prioritize on which nights
- Whether the itinerary has any logistical challenges (tight connections, tender ports that can be weather-dependent)
For a resort stay, we review room categories, building positions, and any property-specific considerations (which pool is quieter, which restaurant requires advance reservations, whether the beach is swimmable at this time of year).
The Booking and Coordination Phase
Once you've approved the recommendation, the work intensifies:
The Reservation
We book through our preferred partner channels, which ensures:

- The honeymoon, anniversary, or special occasion is noted in the booking
- Any dietary requirements, accessibility needs, or preferences are flagged
Pre-Arrival Requests
We contact the property or ship directly to arrange:

- Welcome amenities (champagne, flowers, fruit — coordinated with the property's concierge)
- Specialty restaurant reservations (often before the general booking window opens for other guests)
- Shore excursion bookings
- Spa appointments for the first day, before the schedule fills up
Flight Monitoring
For clients flying to embarkation ports, we monitor flight schedules and flag any changes that could affect the connection. If a flight is delayed or cancelled, we're already working on alternatives before you've landed.
The 72-Hour Pre-Departure Briefing
Three days before departure, every client receives a detailed briefing document that includes:
- Day-by-day itinerary with confirmed reservations, excursion times, and transfer details
- Property-specific tips — the best table in the main dining room, the spa treatment worth booking, the shore excursion that's worth the upgrade
- Emergency contacts — our direct line, the ship's guest services number, the resort's concierge email
- Packing reminders specific to the destination and season
- What to do if something goes wrong — a clear protocol so you're never standing at a gate wondering who to call
During the Trip
Our work doesn't stop when you board. We're available throughout your journey for:
- Real-time problem solving — a shore excursion cancels, a restaurant is unavailable, a flight changes
- Upgrade opportunities — if a better cabin or suite becomes available mid-voyage, we can often secure it
- Recommendations — "we have an unexpected free afternoon in Lisbon, what should we do?"
After You Return
